Section 5 - Subseaquence - FAQs and Standard Terms of Business
Below are the questions and answers to most of your remaining questions. By accepting this project, you are accepting our terms and conditions below. If any questions or answers are not mentioned within the FAQ, please refer to the ‘Terms and Conditions’.

What forms do I need to take on the job?
Please take a hard copy of all attached documents, including those within your contractor zone. We suggest printing off hard copies of all documents and carrying them in a plastic-sleeved folder. This will avoid any Wi-Fi issues.
Please ensure that you read all elements of the joining instructions and understand what is required when you arrive in-country.
Do I require a Seaman’s book?
If you have a valid seaman’s book, please take this with you. This document has become essential during COVID because seamen are granted certain exemptions when travelling. We urge anyone without a Seamans book to apply for one ASAP.
Do I need to have both COVID-19 vaccinations?
Most countries do not require COVID-19 certificates; however, several locations still request them. Therefore, it’s essential to carry your vaccination certificates in person or on your phone.
Would you like me to send in proof of my double vaccination?
Yes, please send in a recent copy of the electronic NHS PDF downloaded version (not a paper-scanned version, as most countries do not accept this). You require the one with the QR code on the letter and the dates on each vaccination (please note they do expire, and it's your responsibility to provide an updated valid certificate).
What should I do if I have an issue whilst on the job?
If you have any issues while on the rig, please inform Subseaquence at support@subseaquence.com, and then we will research the best solution and assist with handling the issue.
What expenses can I claim for
Please clearly state the currency being claimed for each expense. If you use multiple currencies, please indicate this and leave the total amount blank.
For any airport delays that are 5+ hours or whilst in transit, access to the lounge can be purchased and claimed back (this is for entrance cost only)
If receipts/proof of purchase cannot be provided, the expense will be void.
Travel to and from your local airport is only claimable outside a 25-mile radius. Please submit mileage or receipts. Unless this is covered in your travel rate, it will be mentioned in your Contractor Zone rates section.
Airport parking is your responsibility and is not a re-claimable expense.
Subseaquence provides coveralls and hard hats only to all our contractors; you will supply any other required PPE equipment.
Any travel upgrades for personal preference will be arranged by yourself and at your own cost.
Additional travel costs incurred due to missed flights/accommodation caused by your negligence can not be claimed. - If you believe that you may miss a flight, don't hesitate to get in touch with Clyde Travel on the provided number 0141 427 1600 (please add this to your mobile phone)
Any missed and unreported travel within the correct time frame will be void and not reclaimable.
What forms must I complete at the end of my hitch?
All forms Timesheet - blank document to be completed and name added and signed off by a client representative.
Appraisal - blank document to be completed and name added and signed off by a client representative.
Expense Claim Form - Please note that all expense claims are to be completed and submitted with your signed timesheet within 48 hours of your project completion date. If your expense form is not submitted within this cut-off timeframe, this cost will not be claimable.
What should I do if I’m involved in an accident on the job?
Firstly, speak with your spokesperson (most Senior Subseaquence staff members on your job), who will evaluate the situation. It is assumed that the client will have their own procedure for any accidents, so you should follow these procedures.
Your ‘Accident Insurance Document’ (in your ‘Travel Documents’ section) includes full instructions on what to do in the event of an accident.
24-HOUR EMERGENCY MEDICAL & EVACUATION
If possible, please gain the client's permission and approval to implement the insurance action plan, as these need to be in line with the client's own accident procedures.
Does Subseaquence supply PPE?
Yes, we will send you coveralls and a safety helmet. You will be responsible for all other PPE equipment, such as boots, glasses, and gloves. Occasionally, sending you PPE in time will not be possible if we are only given short notice for the project start date.
Will I require additional forms for my trip?
We will ensure all required forms and documents are uploaded to your contractor zone before departure. Each client and operator has different requirements, so documents may vary slightly. Examples of these documents include but are not limited to Essential travel letters, Visa waivers, joining instructions, etc.
When will I receive my salary?
Ten working days from when you demobilise from your project.
Will Subseaquence pay for my certificates?
No, Subseaquence will not pay for any type of certificates, including offshore medical, survival, and well control. This is the contractor's responsibility.
